Event Period Local Staff Positions

If you are locally based in the Event Host City/Cities/Country during the 12 month period prior to the Event, legally entitled to work in Host Country, have a strong customer service aptitude and would like to be an integral part of the success of our clients, guests and customer experiences at global sporting events, you may be a match for a local staff position.

All our following local staff roles require the following:

Client Services: Program Host/Hostess; Program Hotel Hospitality Staff

Program Host/Hostess:

In this role you are responsible for the safe and comfortable transport of program guests to and from their daily activities as the program schedule dictates. While en route, the hosts/hostess provides Event specific knowledge, host city knowledge and information on the logistics to the guests. The role will involve being with guests from early morning until the late evening, during this time they are to respond to guests needs and requests and ensure that they have an outstanding hospitality experience.

  • Typical candidates include event management staff, tour guides, guest services staff, retail staff and hospitality staff

Program Hotel Hospitality Staff:

In this role our Program Hospitality staff are responsible for maintaining our client’s hotel hospitality suite including but not limited to, making sure that it is a comfortable environment, maintaining a neat and organized hospitality desk and acting in a concierge capacity to the program guests. In addition, the role could involve opening or closing the suite, ensuring that all guest communication is up to date, maintaining a guest request log, actioning items and communicating/updating guests, managing gift inventory, and maintaining accurate hospitality and program related information at the hospitality desk.

  • Typical candidates include concierge staff, hospitality staff, hotel front desk, event management staff, retail staff, tour operations staff

CoSport Guest and Customer Services: Customer Care Representative (Front of House ticket collections and call centre)

Customer Care Representative:

In this role you are responsible for working closely with the Guest and Customer Care Managers and CoSport Hotel Managers to assist in the smooth running of our CoSport guest and customer experiences. This role can vary from providing guest check-in support at their hotel; daily updates and information regarding their stay and sporting events they are attending, supporting with directional information, ticketing, and technology support for tickets to their events and issue resolution ensuring outstanding experiences for them.

  • Typical candidates include ticketing agency staff, theatre, events and tourist site staff, customer service, hotel front of house, guest relations and retail staff

Meet and Greet: Transport Meet and Greet

Transport Meet and Greet:

In this role you are responsible for meeting and greeting all our clients and their guests upon arrival into the host city and providing them with their first interaction with Jet Set Sports and CoSport. Your responsibilities will include maintaining the most up-to-date information of arrival times, locations and any changes or delays. Meet the guests in the specified arrivals area, assist with luggage and direct them to the relevant transport. You will also be required to liaise with airport/rail or venue staff, Jet Set Sports/CoSport program managers, vehicle and coach drivers and transportation staff to ensure the smooth operation and movement of our guests upon arrival.

  • Typical candidates include destination management staff, hotel front desk/concierge, event and tour guide staff, airport meet and greet staff

Additional Position Skills or experience are advantageous:

  • Experience working at airports or in destination event arrivals and departures
  • Experience with meeting and greeting guests to events; destinations

Transportation: Transport Coordinators

Transport Coordinators:

In this role our Transport Coordinators will work closely with the Transport Managers in managing the day-to-day logistics of transport and people movements at various locations. Often based outside at the airport(s), the event venues and hotel locations, responsibilities include communicating with venue and transport event staff and volunteers, our drivers, management of staff, directing guests. You may also be based at our Main Operations Center where you will often be translating and liaising with drivers, working on scheduling vehicles and transfers. You will also be required to direct vehicles, coaches, and people within and around venues, while maintaining a high level of service, efficiency, and awareness.

  • Typical candidates include destination management and transport depot staff, crowd, and event control staff

Additional Position Skills or experience are advantageous:

  • Experience coordinating transport schedules or instructing driver shifts
  • Experience with logistics and timetable management

Drivers: Professional Executive Drivers: Guest Drivers;

Professional Drivers:

In this role you are responsible for transporting our guests in our vehicles in a safe and timely manner. Your responsibilities include airport and hotel pick up and drop off, assisting with luggage and ensuring you have the correct signage and information for guest collection. You will drive guests to and from various venues, meal functions and host city locations in accordance with their planned itineraries, while maintaining ongoing communication with our Transport Operations center and Jet Set Sports/CoSport client managers. You will be responsible for maintaining the vehicle you are driving and the technology tools for directions, traffic reports and key information.

  • Typical candidates include private hire drivers; chauffeurs; taxi drivers

Additional Position Requirements:

NOTE: English is not required but is desired

  • Experienced professional drivers
  • 5 years minimum driving experience preferably based in the Host City
  • Experience with guest/customer interactions, including the professional and safe pick-up and drop off from Airports, Hotels, and all program related locations/destinations
  • Experience with dispatching and responding to requests
  • Clean driving record

Food and Beverage: Front of House (FOH) Hospitality Staff

Front of House Hospitality Staff and F&B Staff:

In this role you are responsible for supporting the on-site Jet Set Sports Food & Beverage Manager, Hotel Manager, and/or Hospitality Manager. This is done by assisting with all aspects of Jet Set Sports Games Time operations related to food and beverage, hotel hospitality and/or hotel or off-site restaurant meals and service. Tasks can include guest pass scanning, hospitality center concierge, banquet event order reviews and dining location preparation.

  • Typical candidates include senior hospitality students; hotel/hospitality interns; entry level hospitality staff

Additional Position Requirements:

  • Experience working in high-capacity dining venues and/or events
  • Knowledge of Restaurant and/or Hotel Operations through studies, work experience and/or employment

Accommodations: Hotel Operations Staff

Hotel Operations Staff:

In this role you are responsible for supporting the on-site Jet Set Sports Hotel Manager, Food & Beverage Manager, and/or Hospitality Manager. This is done by assisting with all aspects of Jet Set Sports Games Time operations with regards to guest accommodations and related hotel operations. Tasks can include room block reviews, billing and invoice checks, room inspections and working alongside bell staff and front of house team.

  • Typical candidates include senior hospitality students; hotel/hospitality interns; entry level hospitality staff

Additional Position Requirements:

  • Knowledge of Hotel and Hotel Operations including Rooms Division: Front Office, Guest Services, and/or Reservations through studies, work experience and/or employment

Ticketing: Ticket Fulfillment Staff (Front of House FOH; Back of House BOH)

Ticket Fulfillment Staff:

In this role you are responsible for working closely with the Ticketing Manager and/or CoSport Customer Care Manager to assist in the operational aspects of ticket distribution via all ticket mediums (hard stock, PDF, digital, wrist bands), ticket technology support and ticket and hospitality package allocations. Your responsibilities will include accurately allocating, fulfilling, and distributing ticket orders, liaising, and resolving ticketing issues and handling additional day to day ticketing back of house operations.

  • Typical candidates include hospitality and live event experience including box office, FOH hotel/hospitality, ticket takers, event ops, etc.

Additional Position Skills or experience are advantageous:

  • Experience with digital ticketing – events, cinema, theatre, sports events
  • Experience with Game-day ticketing and/or ticket operations/resolution

Operations: Office Administration Assistants

Office Administration Assistant, including Front Desk Reception, Gifting, and Inventory Management:

In this role you are responsible for assisting the Operations Manager in the day-to-day administration of our Operations Center. You will be working with varied levels of Management, interacting with high value clients and our employees. Your responsibilities include providing Front Desk reception services, including main communications, deliveries, and guest services management; Assisting Executive management with administrative functions; meeting and greeting clients and guests among many other aspects. In addition, you will be involved with guest gifting programs and staff uniforming operations.

  • Typical candidates include office administration assistants, call center staff with customer facing experience, concierge staff

Event Period + Pre-Event Management Positions

If you have significant event or senior project management experience and have a background in the hospitality industry, you may be a match for a management position. Client Services: Program Managers; Assistant Program Managers; Program Transport Managers

Program Managers:

In these roles you are completely responsible for the successful and seamless execution of the client hospitality program/s on-site during the period of the Event. The Program Manager is also responsible for managing, training and scheduling all of their dedicated on-site team members, liaising with the Jet Set operational departments, interfacing with the program hotel staff, being the primary client contact and troubleshooting any on-site challenges that arise.

Some positions may require pre-event planning work. While not a pre-requisite, consideration may also be granted to candidates who have a background in pre-event planning.

Assistant Program Managers:

In this role you are responsible for providing assistance and support to the Program Manager which may include managing functional areas for the program such as transportation, food and beverage, hotel operations, and managing staff. The Assistant Program Manager’s role will also be ensuring a successful and seamless execution of the client hospitality program/s on-site during the event.

Program Transport Managers:

In this role you are responsible for providing assistance and support to the Program Manager in managing functional area of transportation for the program. This will include the scheduling and management of the vehicle assets, drivers, and staff to ensure the guests are safely and efficiently taken from destination to destination. Liaising with the Transport Operations Team to ensure all venue, road and traffic information is up-to-date and shared with the Program Team. The Program Transport Manager’s role will also be ensuring a successful and seamless execution of the client hospitality program/s on-site during the event.

  • Typical candidates include event managers, tour/travel managers, transport specialists, meeting planners and event specialists

Further Position Requirements:

  • Experienced in full-service event management
  • Experience running medium to large scale multi wave/day events, with 50 to 200+ guests per wave
  • Experience managing event components including accommodation, transportation, food and beverage, collaterals, gifting, staffing etc
  • Varied client account and/or hospitality program management experience – for example, corporate and small group/individual clients, protocol and high-net worth clients, sponsor clients.

CoSport Customer Services: Customer Care & Operations Managers

Customer Care & Operations Managers:

In this role you are responsible for working closely with the Guest and Customer Care Managers and CoSport Hotel Managers to assist in the smooth running of our CoSport guest and customer experiences. This role can vary from providing guest check-in support at their hotel; daily updates and information regarding their stay and sporting events they are attending, supporting with directional information, ticketing and technology support for tickets to their events and issue resolution ensuring outstanding experiences for them.

  • Experienced in group package travel once in-country
  • Experienced with hotel management and room inventory management
  • Experienced in ground transportation coordination and logistics
  • Experience managing a variety of event ticket distribution/issue resolution (hard-stock, PDF, digital, QR code)
  • On-site issue management and resolution, with excellence in customer service

Transportation: Transport Operations Managers

Transport Managers:

In this role you are responsible for the successful and seamless management of day-to-day operations for client and guest transportation. Each transportation manager will be responsible for designated area/s of operation that can include: Airports, Rail Stations, Event Venues, Hospitality and Hotel Locations, Vehicle and Coach Management including dispatch and scheduling. Tasks could include managing ingress and egress of coach and/or vehicles for designated locations; management of movement, safety and security for large ceremonies and events including developing logistics plans; management of receipt, delivery and maintenance of vehicles with included technology; providing leadership to the local staff and/or drivers (coach/vehicle) within each operational area, liaising with Client Program Managers or clients to ensure successful delivery of transportation operations.

  • Typical candidates include dispatchers, transportation leads and DMC employees.

Further Position Requirements:

  • Experience in working within a fleet vehicle-based environment, managing drivers and multiple locations with ability to multitask at the same time.
  • Experience working with multiple vehicle vendors to deliver transport operations
  • Experienced with airport transfers/meet & greet
  • Experienced at dispatch for a DMC company and/or a large program with multiple transportation movements.
  • Experienced at Driver education, communication, scheduling, and handling driver issues

Hospitality Center Managers:

In this role you are responsible for the delivery of flawless, extraordinary hospitality and culinary experiences to Jet Set Sports and CoSport guests. Responsibilities include overseeing and expediting the hospitality operations in collaboration with venue production, caterer and chefs at one or multiple hospitality locations for Jet Set Sports and CoSport guest programs. This includes the daily BEO management, client and guest hospitality pass inventory management and reconciliation, liaising with hospitality venter caterer’s and chefs. Guest experience management from access control, through to front of house team management, daily briefings and client/guest communications. The position may be combined with Hotel Management.

  • Typical candidates include Event Hospitality Managers, Venue Hospitality Lounge Managers, Fine Dining Restaurant/Outlet Manager/Catering Managers

Further Position Requirements:

  • Minimum 5 years’ experience in a F&B and/or Catering/Venue Hospitality Management position
  • Experience managing large capacity venue hospitality locations – in-venue or stand alone or large catering with production /special events
  • Experience liaising with multiple stakeholder groups including vendors, caterers, chefs, and event venue departments
  • Experience working with varied booking, reservation and billing and BEO systems
  • Experience with access control systems, pass inventory management (hard stock or digital) and allocation
Food and Beverage Managers:

In this role you are responsible for the delivery of flawless, extraordinary culinary experiences through high-quality service and hospitality to Jet Set Sports and CoSport guests. Responsibilities include overseeing and expediting all Food and Beverage related operational arrangements in one or multiple restaurants or hospitality locations for Jet Set Sports and CoSport guest programs. This includes the daily BEO management, dining location communications, advancing and ensuring meal service is at standard, and completing billing and reconciliation processes. The position may be combined with Hotel Management.

  • Typical candidates include Fine Dining Restaurant/Outlet Manager/Catering Manager; 4- or 5-Star Hotel and F&B Management staff

Further Position Requirements:

  • Minimum 3 years’ experience in a F&B Management/Supervisory position
  • Experience managing large capacity fine dining establishment/s or dining/special events
  • Experience liaising with multiple stakeholder groups including Guests; Client Liaisons; Hotel and Event Venue Departments
  • Experience working with varied booking, reservation and billing and POS and BEO systems

In this role you are responsible for overseeing and expediting all hotel related operational arrangements in one or multiple properties for Jet Set Sports and CoSport guest programs. The role works alongside existing hotel management structures providing the key point of contact for all Jet Set and/or CoSport teams. The role works closely with hotel front of house, bell staff, reservations and event/conference services teams to deliver seamless hotel operations during the event, handle guest/client issues and ensure billing, folio management and reconciliation are aligned executed daily. The position may be combined with Food & Beverage management.

  • Typical candidates include Hotel Operations Managers; Hotel Rooms Managers; Hotel FOH Managers

Further Position Requirements:

  • Minimum 5 years’ experience working in 4- or 5-star hotel property in Management/Supervisory position
  • High level of proficiency in hotel property management systems (Opera, Micros etc)
  • Experienced in billing/reconciliations and folio management
  • Experience in managing hotel operations such as rooms control, front desk and reservations

Ticketing Managers:

In this role you are responsible for working closely with the Ticketing Director to assist in the day-to-day management of ticket allocation and distribution to our client and consumers. This will be combined with daily event ticketing schedule communications and direct ticket issue resolution or working closing with our Customer Care Team to resolve challenges and communicate event changes.

  • Typical candidates include ticketing agency, large events or theatre and tourist site ticketing managers; hospitality ticketing and event operations managers

Further Position Requirements:

  • Hospitality and live event experience (box office, FOH hotel/hospitality, ticket takers, event ops, etc.)
  • Extensive knowledge in ticket management in all mediums (hard stock, PDF and digital, wristbands, etc.) including allocation, fulfillment, and distribution
  • Experience with client and customer communication, including event reschedules, seating requests, reseating, cancellations
